Umrah Invoice, Receipt and Hotel Voucher Format: What Your Agency's Documents Must Show

9 October 2026 · 6 min read

Your documents are often the only thing a pilgrim's family holds in their hand before they fly. A clear invoice prevents arguments about money, a proper receipt proves every part payment, and a correct hotel voucher is what gets your customers into their rooms in Makkah at 2 a.m. Here is what each document should show.

The booking invoice

Show: your agency name, logo, address, WhatsApp number and email; an invoice number that follows one pattern (for example INV-2026-0142); issue date and payment due date; the customer's name and phone; travel dates and package name; one line per item (flight with PNR, each hotel with nights and room type, transport, visa) with the amount; the grand total, the amount received so far and the balance due; your payment methods (bank, JazzCash, Easypaisa); and your cancellation and refund terms. 'Balance due' is the line customers look for first, so make it the most visible number on the page.

The payment receipt

Issue a receipt for every payment, including part payments, never a handwritten note. Show: receipt number, date, the invoice it belongs to, amount received in figures and in words, payment method and reference (bank transfer ID or wallet transaction ID), who received it, and the balance still due. When a family pays in three instalments, three receipts and one invoice tell the full story without a single phone call.

The hotel voucher

Hotel receptions check vouchers quickly, so keep them simple: hotel name and city, check-in and check-out dates, number of nights, number and type of rooms (Double, Triple, Quad), meal plan, guest names exactly as in the passports, the supplier or hotel confirmation number, your booking reference, and a 24-hour contact number for problems at check-in. Make one voucher per hotel; a family staying in Makkah and Madinah gets two.

The e-ticket and itinerary page

Even when the airline issues the ticket, a one-page summary in your name helps the family: PNR, airline, flight numbers, dates and times for each leg, passenger names and baggage allowance. Add the reporting time at the airport. This page is what relatives forward on WhatsApp, so it is free advertising for your agency.

Keep every document in your brand

Use the same logo, colours, contact details and numbering on every document. Customers trust an agency whose invoice, receipt and voucher clearly belong together, and they remember the name when a relative asks who arranged their Umrah. Pick one design and stick to it.

Mistakes to avoid

1) Guest names that do not match passports. 2) An invoice without the balance due. 3) No cancellation terms, which turns every change into a dispute. 4) Receipts written on paper and photographed. 5) Different invoice numbers for the same booking. 6) Missing confirmation numbers on hotel vouchers.

Make all four documents in one click

In Taqaddus for Agencies, a booking becomes an invoice, receipts, an e-ticket page and hotel vouchers with your logo and contact details (on Pro and Business, also your brand colours and a choice of three designs). Print them or save them as PDF and send them on WhatsApp. Your customers never see our name.

In short

Four clear documents (invoice, receipt, hotel voucher and itinerary) answer most of the questions a pilgrim's family will ever ask you. Make them complete, make them consistent, and make every one carry your agency's name.

Questions

Do I need a separate receipt if the invoice shows the amount received?

Yes. The invoice shows the running total, but each payment should have its own receipt with the date, method and reference. It protects you and the customer if a payment is ever questioned.

Should hotel vouchers show prices?

No. A voucher is for the hotel reception. Leave prices off so your rates stay private and the reception only sees what it needs to check the guests in.
