Travel Agency Software in Pakistan: A Buyer's Checklist for Umrah and Hajj Agencies (2026)
9 October 2026 · 7 min read
Most small Umrah agencies run on WhatsApp, a calculator and an Excel sheet. That is fine for ten bookings a season. Past that, enquiries get missed, part payments get forgotten and nobody knows the real profit until the season is over. If you are looking at software, this checklist will help you pick something built for how Pakistani Umrah and ziyarat agencies actually work.
WhatsApp and Excel vs a generic CRM vs Umrah agency software
| What you need | WhatsApp + Excel | Generic CRM | Umrah agency software |
|---|---|---|---|
| Makkah / Madinah hotel split and room sharing | ✗ manual | ✗ usually not | ✓ |
| Quotes from your own rates | ✗ manual | ✗ usually not | ✓ |
| Invoices and vouchers with your logo | ✗ | Some | ✓ |
| Payments due and part payments | ✗ | Some | ✓ |
| Supplier bills and real profit | ✗ | ✗ usually not | ✓ |
| Staff roles that hide costs | ✗ | ✓ | ✓ |
| Urdu and Roman Urdu | ✓ | ✗ usually not | ✓ |
Signs you have outgrown WhatsApp and Excel
1) Customers wait hours for a quote because only one person knows the rates. 2) You find out a balance was never collected after the family has returned. 3) Two staff quote the same customer two different prices. 4) You cannot say which month or destination made money. 5) Hotel rates for Ramadan and off-season live in different files. If three of these sound familiar, software will pay for itself.
1. Built around Makkah and Madinah
Generic CRMs track 'deals'. An Umrah agency needs split Makkah and Madinah stays, hotel rates by date window, Double, Triple and Quad room sharing, riyal-to-rupee conversion, transport routes and visa costs. If you have to bend the software to fit an Umrah package, your staff will go back to Excel within a month.
2. Quotes from your own rates
Your prices come from your suppliers and your markups, not from a website's averages. Good software stores your hotel, transport, flight and visa rates and builds quotes from them, so every staff member quotes the same price and your margin is applied every time.
3. Documents in your agency's name
Invoices, receipts, hotel vouchers and itineraries should carry your logo, colours and contact details, not the software company's. Your customers should never see another brand.
What each document must show →4. Money: payments due, supplier bills and real profit
Look for a payments-due list (who still owes what, sorted by travel date), receipts for part payments, what you owe each supplier, office expenses, and a profit figure that subtracts all of them. Revenue alone does not tell you if the season was good.
5. Staff roles and control
Sales staff should be able to quote without seeing your supplier costs. Accounts staff should record payments without editing rates. You should see who changed what and when. Ask whether permissions can be set per person, not just 'admin' and 'user'.
6. Urdu, phones and privacy
Your customers write in Urdu and Roman Urdu, so the software should understand both. It should work on a phone, because half your work happens away from the desk. And your rates and customer list must never be visible to other agencies on the same system.
7. Clear pricing and a real trial
Ask for the monthly price in rupees, what limits apply (staff logins, AI quotes), what happens to your data if you stop, and whether you can try it with your own rates before paying. A trial with your real hotels tells you more than any demo.
Where Taqaddus for Agencies fits
We built Taqaddus for Agencies for exactly this list: Umrah, Hajj, Iraq and Iran ziyarat, Turkey and Jordan; quotes from your own rates in Urdu, Roman Urdu or English; documents in your name; payments due, with supplier bills and real profit on Pro; staff roles that hide costs from sales; and a free trial with prices shown openly on our page.

The right software is the one your staff will actually use every day. Choose something built for Umrah packages, that quotes from your own rates, puts your name on every document and shows you who owes what. Then test it with your real rates before you pay.
Questions
Is software worth it for a small agency?
If you handle more than a few bookings a month or have even one staff member, yes. The time saved on quotes and the part payments it stops you forgetting usually cover the monthly fee.
Will I lose my data if I stop using the software?
Ask before you sign up. You should be able to export your enquiries and customer list, and your data should stay yours.
