How to Send Umrah Quotes on WhatsApp Faster (and Win More Bookings)

9 October 2026 · 6 min read

A pilgrim's family usually messages three or four agencies on the same evening. The agency that replies first with a clear, complete quote is the one they call back. This guide shows how to get that quote out quickly without giving away margin.

Ask these six questions first

Before you price anything, get: 1) travel month or exact dates, 2) number of adults, children and infants, 3) departure city, 4) how many nights in Makkah and Madinah, 5) room sharing (Double, Triple or Quad), and 6) budget or hotel preference (near Haram, or best value). Send them in one message, in the language the customer used. A Roman Urdu example: 'Assalam o Alaikum! Behtareen package banane ke liye bata dein: kis mahine jana hai, kitne log (bachay bhi), kis shehar se, Makkah aur Madinah mein kitni raatein, kamra kitne logon ka, aur hotel Haram ke qareeb chahiye ya budget?'

Send two or three options, not ten

Too many options make families delay the decision. Send a budget option, a recommended option and, if the budget allows, a comfort option. Lead with the one you recommend and say why in one line, for example 'closest to Haram within your budget'.

Lay the quote out so it reads on a phone

One line per item and the total at the bottom: flight (airline, dates), Makkah hotel (name, nights, distance, room sharing), Madinah hotel (name, nights), transport, visa, then the price per person and the family total. Say clearly what is not included (meals, extra ziyarat) and how long the price is valid, for example 'rates valid until Thursday because flight fares change'.

Attach a PDF quote with your logo

Families forward quotes to the elders who decide. A neat PDF with your agency name, logo and contact details travels much better than a long chat message, and it keeps your name in front of every person who sees it.

Follow up without being pushy

Follow up the same evening if there is no reply ('Koi sawal ho to batayein'), again after two days with something useful (a fare change or room availability), and once more before the price validity ends. Three polite follow-ups are normal; after that, mark the enquiry and move on.

Turn the 'yes' into a booking the same day

When the family agrees, send the invoice with the deposit amount and your payment details straight away, and confirm passport names. A booking with a deposit and a receipt is real; a verbal 'yes' is not.

In short

Fast quotes win Umrah bookings, but only if they are complete and clear. Ask the six questions, send two or three well-laid-out options with a validity date, attach a branded PDF, and follow up three times. Then ask for the deposit the moment the family says yes.

Questions

Should I put the price in the first reply?

Only once you have the six answers. A price without dates and room sharing is usually wrong, and correcting it later costs trust.

Should I reply in Urdu or English?

Reply in the language and script the customer used. If they wrote in Roman Urdu, a Roman Urdu reply feels personal and is easier for them to forward.
